Outlook’s Priority View: Smarter Email Management with Copilot

Smarter Email Management with Copilot in Outlook

Email overload is a familiar problem for most business owners and employees. Between client requests, supplier updates, and internal conversations, inboxes quickly become cluttered. The result is wasted time searching for what’s important and the risk of missing something critical.

Microsoft is introducing a new tool to help reduce this stress. Priority view, coming to Outlook for iOS and Android, will use Microsoft 365 Copilot to highlight the emails that matter most.

What Is Outlook Priority View?

Priority view sorts your inbox into two categories: High Priority and Needs Replies. When you open Outlook on your mobile device, the emails most relevant to you appear straight away.

You’ll also have options to:

  • Decide how recent the flagged emails should be (between one and three days).
  • Choose whether to view all or only unread messages in those priority lists.

This makes it easier to stay focused on urgent matters instead of getting distracted by newsletters or low-priority updates.

Who Can Use Priority View in Outlook?

Not everyone will have access to this feature immediately. To use Priority view, you’ll need a Microsoft 365 plan with a Copilot licence, since Copilot is a paid add-on. You’ll also need your email hosted on Exchange Online with a primary mailbox.

According to the Microsoft 365 Roadmap, the rollout began in June 2025 and is expected to complete by December 2025. If you don’t see it yet, it’s likely still being deployed.

You can also review Microsoft’s licensing requirements for Copilot to confirm whether your organisation is eligible.

Why Outlook Priority View Matters for Businesses

For many businesses, overlooked emails are more than just inconvenient — they can cause delays, missed opportunities, and unnecessary stress. Priority view brings several benefits:

  • Time saving: spend less time digging through your inbox.
  • Reduced risk: critical messages are less likely to be missed.
  • Lower stress: employees can focus on their jobs without worrying about missing vital emails.

By letting AI handle some of the sorting, your team can focus more on the work that drives results.

Getting Ready for Priority View

If your organisation already has Copilot, check with your IT administrator that Outlook is updated and the feature is enabled for your account. If not, now may be the time to explore how Copilot can improve productivity across Outlook, Teams, and other Microsoft 365 tools.

At SJ Systems, we regularly help businesses in the North East and beyond with Microsoft 365 support, from setup and licensing to ongoing management. If you’d like tailored advice on enabling Copilot or want to explore practical ways to make your email system more efficient, contact our team or fill out the form below.
